Why FSA and HSA cards get declined at your box

The card networks only approve HSA and FSA cards at businesses coded as medical, and a gym isn't one. Your Wodify setup has nothing to do with it. The same rule shows up in Momence's, Zenoti's and Vagaro's own help docs, so it's the category, not the software.

Getting the letter is the easy part

Writing a letter is the half that's easy to promise. Filing the claim is what decides whether your member ever sees the money, and in most versions of this they're left to do it alone. The right form for their administrator, receipts attached correctly, a resubmission when it bounces back over a detail. Plenty of members start and never finish. The ones who do remember it as hassle attached to your gym, and at a box where the owner is also the coach and the front desk, every one of them comes back to you.
